§ 12.3

Privacy notice

Short version: we collect only what you type into the request form or send by email, we use it to answer you, and we share it only with the hotel or booking partner needed to check your stay. No cookies, no analytics, no advertising trackers.

Section checked against sources on 31 October 2026. Independent guide — not the hotel's website.

12.3.1What we collect

  1. From the request form: your name, email address, phone number if you give one, number of guests, dates, room type, the purpose of the stay if you choose one, your notes, your consent, and the address of the page you sent the form from.
  2. From email: whatever you write to hello@fortroadhotelguide.com, and your email address.
  3. Technical: our server and Cloudflare, which delivers the site, process your IP address and browser information to deliver pages and protect the site from abuse. We do not use them to build a profile of you.

12.3.2What we do not collect

12.3.3Why we use it

  1. To check availability and rates for your request with the hotel or a booking partner.
  2. To reply to you by email, or by phone if you asked us to.
  3. To keep a record of confirmed stays for the commission described in section 11.2.
  4. To correct the handbook when you report a mistake.

We do not sell or rent personal information, and we do not share it for anyone else's marketing.

12.3.5Google Maps

On the home page the map is a drawing until you press the button; only then does Google Maps load and receive your IP address and browser data. On the “Getting here” page the Google map is embedded and loads from Google when that part of the page comes into view. Links marked “Open in Google Maps” take you to Google, whose own privacy policy applies there.

12.3.6How long we keep it

We keep a request for as long as we need it to answer you and, if it became a stay, to account for the commission on it. You can ask us to delete your request at any time by writing to hello@fortroadhotelguide.com; we will confirm when it is done.

12.3.7Your rights

Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) gives you the right to know what personal information an organisation holds about you, to have it corrected, and to withdraw consent. Write to us to use these rights. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada; in Alberta, the Office of the Information and Privacy Commissioner also oversees private-sector privacy.

12.3.8Changes

If we change how we handle personal information — for example, if we ever add analytics — we will update this notice and its date before the change takes effect. This version is dated 1 November 2026.
